firmai.eu
Find, understand and bid on public procurement with AI assistance — even if you've never done it before.
Public authorities in the EU spend hundreds of billions on contracts each year, and the vast majority of SMEs never participate. Not because they can't deliver, but because a tender looks like a wall: two hundred pages of specifications, requirements that turn out to be deal-breakers, a Uniform European Procurement Document, and deadlines that pass while you're still reading.
firmai removes that wall. You get notified when a contract comes along that matches your work — based on what it says, not on a code someone once ticked — and you immediately see whether it's worth bidding. If you decide to submit, the platform reads the tender for you and you bid criterion by criterion in an environment that knows how you'll be assessed.
What firmai does not do is submit for you. You do that yourself, via the contracting authority's procurement platform, with your own login. That's not a shortcoming but the core of the design: your bid stays yours.
What it does
Alerts that understand your work
We match on the content of the contract, not on broad CPV codes. Anyone filtering by codes gets ten notifications a day or none — and misses exactly the contract that was filed differently.
A fair go/no-go
With every contract an indication of whether bidding has a chance, with the reason. A platform that always says "yes, do it" sells you work instead of revenue.
The tender read out
Upload the tender and out come the knock-out criteria, the award criteria with their weightings, the document checklist and all deadlines. That's the reading work where most bids fall apart.
Write by criterion
A writing environment that shows you, for each award criterion, what the evaluator awards points for. With a hard commitment from us: no statement about your company that you haven't supplied yourself.
UEPD and clarification note
Help with the Uniform European Procurement Document, and with asking the questions that must be asked before the deadline — the step most bidders skip.
Final check before submission
A last review for completeness against the document list from the tender, because one missing attachment makes a bid invalid.
For whom
- SMEs that have never bid and don't know where to start
- Companies that bid occasionally and now have a bureau do the writing
- Suppliers already delivering to public authorities who don't want to miss the next tender
Where it is found
Knowledge base long-tail that is virtually untapped, because existing content comes from consultants who give nothing away: "public procurement bidding Germany", "UEPD completion", "what is a knock-out criterion", "how long does a procurement procedure take". The free match check is the lead magnet.
Frequently asked questions
Do you submit the bid for me?
No. You submit yourself via the contracting authority's platform, with your own login. We provide the reading work, the structure and the text; the bid stays yours.
I've never participated before. Is this for me?
Exactly. The largest group we serve is the SME that never bids now. That's market expansion: there's a bidder who wouldn't be there otherwise.
Does the AI write my bid?
It contributes to writing, but invents nothing. Everything claimed about your company comes from what you supply yourself — a bid with a made-up reference in it is worse than no bid.
Do you also handle appeals or court proceedings?
No. Bid management as a service, submission on behalf of clients and legal procedures are deliberately outside what we do.
How this platform is built
Like every platform from Theos Group: on one shared foundation, in its own management, with its own automatic administrator — here TARS — that runs the daily rounds, reports outages, and writes the daily report. What we learn at one system, is in all the others the following week.
